Use this planner to clarify what a supplier’s minimum order quantity actually applies to and to build a schedule around approvals, material procurement, production, inspection and dispatch. It complements a sourcing guide by providing fields to record supplier commitments and buyer dependencies for each purchase order.

Part A — Order and product details

Buyer / project: ____________________   Supplier: ____________________

Product / SKU family: ____________________   Target delivery date: ____________________

Destination / trade term: ____________________   Purchase order reference: ____________________

Part B — MOQ breakdown

Ask the supplier to identify the level at which each MOQ applies. The product MOQ may not be the same as the fabric, dyeing, printing, filling, backing or packaging minimum.

Planning rules

  • Separate sample-development time from bulk-production time.
  • Record lead-time start and end points in writing.
  • Include buyer approval time and material procurement in the critical path.
  • Show subcontracted processes and their delivery dependencies.
  • Plan inspection, corrective action, packing and dispatch as distinct milestones.
  • Use a recovery plan when a critical milestone slips; do not silently compress quality checks.
