International buyers often want to understand what a sourcing partner actually does during a project and what evidence supports a reported result. This page explains the types of workstreams Vanguard Sourcing can coordinate and the framework used to document project examples responsibly.
Transparency note: The scenarios below are illustrative sourcing workflows, not named customer case studies or claims that a particular client project was completed. Vanguard Sourcing’s published capabilities page does not disclose named client endorsements or confidential customer case studies. No customer name, order value, savings figure, OTIF result or production outcome is presented here as a verified Vanguard Sourcing result.
Illustrative project scenario 1 — private-label home textiles
Buyer requirement: a retailer is evaluating Indian suppliers for a bedding, quilt or decorative home-textile range.
- Clarify fabric or shell composition, filling, construction, dimensions, tolerances, colour, finish, labels and packaging.
- Identify factories with relevant product and process experience; record actual production sites and subcontracted operations.
- Issue a consistent RFQ and compare price, MOQ, sample charges, material assumptions and delivery milestones.
- Coordinate samples, comments, revisions and written approval against the final specification.
- Set material, in-line and final quality checks and follow open issues before shipment readiness.

Illustrative project scenario 2 — bath mats and rugs
Buyer requirement: a buyer wants to compare Indian suppliers for chenille, tufted, woven or flatweave bath mats and rugs.
- Define the face construction, fibre or yarn, base fabric, backing, edge finish, size and weight measurement method.
- Check that the factory’s machinery and process route match the required construction.
- Approve a sample made with the intended bulk material and backing, with clear wash and performance expectations.
- Record dimensional, appearance, workmanship, backing and packing checks against an agreed standard.
- Review defects and corrective actions before shipment release.

Illustrative project scenario 3 — metal and wooden home décor
Buyer requirement: an importer is developing metal or wooden décor products with a defined finish and retail packaging.
- Specify base material, grade or species, thickness, construction, dimensions, joints and hardware.
- Define the surface finish, colour, coating or plating, acceptable handmade variation and functional requirements.
- Confirm the actual production site and identify casting, fabrication, carving, polishing, finishing and assembly subcontractors.
- Review samples for finish, sharp edges, stability, assembly, workmanship and packaging protection.
- Identify product-specific safety, material, chemical or destination-market evidence that the importer requires.

What a publishable case study should contain
A credible case study should be based on a specific project record and should separate the buyer’s original baseline from the work performed and the measured outcome. The following framework can be used when a buyer has authorised publication:
- Project context: product category, destination market, order or development objective and reporting period.
- Starting point: the buyer’s documented requirement or operating challenge, using only information the buyer authorises.
- Agreed scope: the supplier search, sample work, factory coordination, production follow-up or inspection activities actually included.
- Actions and decisions: what Vanguard Sourcing and the buyer each did, including key approvals and issue resolution.
- Evidence: approved specifications, sample records, quotations, milestone reports, inspection records or other project documents.
- Measured result: the metric, calculation method, time period, baseline and evidence supporting the reported outcome.
- Limitations: product, supplier, volume, seasonality or external factors that affected the result.
- Permission: written approval for the case-study wording, images, customer references and level of anonymisation.
How confidentiality is handled
Client names, private-label designs, supplier pricing, order values, factory identity and performance results should not be published without the relevant permission. An anonymised description still needs to be reviewed for indirect identification risk, especially where a product, destination, timing or order size could reveal the buyer or factory.
Where permission is not available, the project should remain confidential. A general illustrative workflow may explain how a sourcing process works, but it must not be represented as a completed customer engagement or as proof of a measurable result.
What buyers can request during an engagement
Depending on the agreed scope, a buyer may request a specification register, supplier shortlist, comparative RFQ, sample approval record, milestone plan, production status report, inspection evidence, corrective-action log and shipment-readiness checklist. The applicable deliverables, reporting frequency, approval authority and confidentiality terms should be written into the project scope.
